Executive Assistant

About the role

Moeve Trading is seeking a proactive Executive Assistant to support its Directors as the company transitions toward sustainable energy. You will act as the main liaison between senior leadership and internal/external stakeholders, ensuring smooth daily operations and strategic alignment.

Key responsibilities

• Provide comprehensive administrative and confidential support to Directors, managing calendars, meetings, and day‑to‑day priorities.
• Serve as the primary point of contact, screening, prioritising, and coordinating incoming requests.
• Organise domestic and international travel, including itineraries, accommodation, and expense reporting.
• Prepare meeting agendas, compile documentation, and track action items to completion.
• Maintain accurate records, filing systems, and ensure confidentiality in line with company policies.
• Support ad‑hoc projects and initiatives that improve office efficiency.
• Coordinate team events, workshops, and leadership meetings.

Required profile

• 3+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leaders.
• Exceptional planning, prioritisation, and multitasking abilities with strong attention to detail.
• Excellent verbal and written communication skills; confident interaction with stakeholders at all levels.
• Proactive problem‑solving mindset with the ability to identify issues and implement solutions.
• High level of discretion and experience handling confidential information.
• Fluent in English (C1) and Spanish; additional languages are a plus.
