Procurement Specialist

About the role

Vitrolife Group is seeking a Procurement Specialist to support its Purchasing and Logistics teams. The role ensures smooth, cost‑effective, and compliant supply operations across an international, regulated environment, providing broad exposure to purchasing and logistics processes.

Key responsibilities

• Set up suppliers and items in Navision, maintaining accurate master data.
• Convert approved offers into purchase orders, dispatch them to suppliers and monitor delivery dates.
• Register and track direct purchase orders for IT equipment, mobile phones, cafeteria supplies, Amazon orders and other internal requests.
• Record daily purchasing and logistics incidents, support follow‑up actions and contribute to the annual Quality review.
• Monitor order status, follow up on deliveries, invoices and pending actions.
• Answer internal queries related to purchasing, invoicing, order reception and warehouse coordination.
• Prepare import and customs documentation, ensuring completeness and regulatory compliance.
• Maintain contact with couriers and transport providers, resolve delivery incidents.
• Support invoicing processes by reviewing information, checking accuracy and coordinating with internal teams.

Required profile

• Bachelor’s degree in Business Administration, Supply Chain Management, Logistics or a related field.
• 2–4 years of experience in purchasing, supply chain or logistics.
• Experience in a regulated environment such as MedTech, pharma or biotech is a plus.
• Fluent in Spanish and English, both written and spoken.
