Senior Executive Assistant – Luxembourg

About the role

The European Investment Bank is looking for a (Senior) Executive Assistant to support the Ombudsperson at its Luxembourg headquarters. The role is full‑time, temporary (3‑year contract) and requires regular presence in the office, offering a multicultural environment and relocation assistance.

Key responsibilities

• Plan and organise missions, high‑level meetings, receptions and business trips, handling travel arrangements and related documentation.
• Manage and optimise the Ombudsperson’s agenda, assess priorities, resolve competing demands and adjust schedules proactively.
• Act as the central coordination point between the Office of the Ombudsperson and internal/external stakeholders, ensuring confidential and timely information exchange.
• Handle correspondence, draft replies and ensure follow‑up on deadlines.
• Prepare, quality‑check and submit documents for the Ombudsperson’s approval, and maintain electronic and paper filing systems.
• Provide ad‑hoc support for research, event organisation and project‑related tasks.
• Accompany the Ombudsperson on missions to EIB Group offices when required.

Required profile

• Strong judgement, discretion and ability to handle confidential and sensitive information.
• Excellent organisational and prioritisation skills with a proactive attitude.
• High degree of autonomy and capability to work on non‑routine matters.
• Willingness to travel and represent the Office on external missions.
• Fluent in English; additional EU languages are an asset.
