Executive Assistant to CEO

About the role

Qilimanjaro is building full‑stack superconducting quantum computers and needs a trusted partner for its CEO. As the Executive Assistant, you will be the operational backbone of the CEO’s office, safeguarding her time, managing priorities, and ensuring seamless execution of daily tasks.

Key responsibilities

• Own the CEO’s calendar across multiple time zones, protect strategic time, and coordinate complex international travel.
• Act as the first point of contact, filter requests, and draft or review correspondence on the CEO’s behalf.
• Prepare meeting agendas, briefing notes, capture decisions, and follow up on action items.
• Manage expense reports, invoices, and basic procurement for the CEO’s office.
• Maintain inbox, CRM contacts, and file systems with rigorous hygiene.
• Lead one‑off projects, co‑organise leadership off‑sites and company events with the Office Manager.
• Create polished presentations for board meetings, investor updates, and external keynotes.
• Facilitate communication between the CEO, internal teams, and external partners while handling confidential information with discretion.

Required profile

• 4+ years of executive assistant experience supporting senior leadership, preferably in a fast‑paced tech startup or scale‑up.
• Fluent written and spoken English and Spanish; Catalan strongly preferred.
• Excellent organization, autonomy, and ability to manage competing priorities.
• Based in Barcelona, eligible to work in Spain, and comfortable with a hybrid work model.

Required skills

• Proficiency with Notion.
• Strong command of Google Workspace.
• Advanced use of Microsoft Office, especially PowerPoint/Slides.
• Experience with CRM systems.
