Private Finance Manager

About the role

The Private Finance Manager will oversee budgeting, payments, reporting and all financial processes related to privately used assets for a family‑office environment. You will work closely with finance stakeholders, contractors and senior leadership to ensure accuracy, transparency and operational efficiency.

Key responsibilities

• Manage budgeting processes for personal expenses and privately used assets, monitoring income, expenses and performance.
• Execute and oversee payments via bank accounts, credit cards and digital wallets, ensuring compliance and proper documentation.
• Maintain accurate monthly accounting records in ERP and finance systems.
• Prepare monthly budget‑vs‑actual reports, analyse deviations and provide insights to senior stakeholders.
• Coordinate with contractors on agreements, service payments, documentation and balance reconciliation.
• Review advance expense reports, validate allocations and ensure correct classification.
• Control privately used payment methods, including limits, card controls and transaction tracking.
• Monitor financial documentation validity and support treasury operations during peak periods or absences.
• Improve financial processes, reporting structures, ERP workflows and expense management procedures.

Required profile

• Strong experience in private finance management, financial operations or similar roles with complex payment and reporting processes.
• Advanced knowledge of accounting principles, expense classification, AP/AR and month‑end financial discipline.
• Solid understanding of end‑to‑end banking operations, multi‑currency payments and reconciliation.
• Proven ability to work with ERP or finance systems and drive process improvements.

Required skills

• Advanced Excel (pivot tables, complex formulas, data validation).
• Google Sheets (advanced functions, reporting structures).
• ERP systems (configuration, workflow optimisation).
