Academic Planning & Faculty Experience Support Officer

About the role

IE University is seeking a motivated professional to provide operational and administrative support to the Academic Planning & Faculty Experience function. Working closely with Associate Directors, you will help ensure smooth academic planning processes, faculty coordination, and high‑quality academic administration.

Key responsibilities

• Provide day‑to‑day administrative and operational assistance to Associate Directors.
• Coordinate academic planning activities and monitor related operational tasks.
• Manage the faculty mailbox, categorise requests, assign them to appropriate teams and track resolution times.
• Support faculty with routine operational enquiries.
• Coordinate collection, review and tracking of syllabi and other academic documentation, monitoring submission deadlines.
• Ensure documentation is complete and correctly recorded in institutional systems.
• Process faculty requests and operational incidents according to established procedures, maintaining accurate records.
• Escalate issues when necessary to guarantee timely resolution.
• Update academic structures and planning information in institutional systems.

Required profile

• Strong organisational and multitasking abilities.
• Excellent written and verbal communication skills in English.
• Detail‑oriented with a focus on accuracy and timeliness.
• Ability to work collaboratively in an international, academic environment.
