Event Venue Sourcing Coordinator

About the role

Amex GBT is looking for an Event Venue Sourcing Coordinator, a fully remote role that can be done from anywhere in Spain or Poland. You will act as the primary liaison in the CoE and lead for the assigned programs, collaborating with an internal team or client in another country to support venue sourcing on their request. You will proactively negotiate venue rates and contracts and prepare preliminary budgets.

Key responsibilities

• Review meeting requests and run qualification calls with clients and local teams.
• Develop and implement program and negotiation strategies to secure the best prices and enhancements with suppliers.
• Use knowledge of domestic and international destinations to recommend suitable venues, keeping up with new, value-priced and promotional options.
• Gather all information needed to source events, including availability grids from the designated tool, and qualify proposals for competitiveness.
• Meet client deadlines, track supplier option dates and follow up on program status.
• Review supplier contracts before finalization, ensuring terms and conditions, attrition dates and cancellation policies are accurate and legally protective.
• Negotiate final pricing and concessions with suppliers, including DMCs and other third-party suppliers, pre- and post-sale.
• Create meeting records in the meeting management system, maintain records of tentative, sold and cancelled programs, and keep files in line with company and client policies.

Required profile

• At least 1 year of experience in a similar role.
• Passion for project management, meetings management and client management.
• Experience working within budgets and strong prioritization skills.
• Excellent written and verbal communication skills in English and German.
