Executive Assistant

About the role

We are building The Playstack, a platform that powers the next generation of sports, gaming, and fan experiences across Europe and Latin America. We are seeking an Executive Assistant to support three senior leaders – the VP of Strategy, VP of Transformation, and VP of Growth Marketing – by streamlining operations, automating routine tasks, and driving small‑scale projects from start to finish.

Key responsibilities

• Manage complex calendars for three VPs, protect deep‑work time, and coordinate meetings with the right participants.
• Prepare briefing materials, slide decks, agendas, and ensure every meeting starts with clear purpose.
• Own post‑meeting follow‑ups: capture actions, chase owners, and track completion.
• Leverage AI tools such as Claude to automate repetitive operational tasks.
• Identify process gaps, design lightweight systems, and implement improvements without prompting.
• Lead smaller cross‑functional projects, expanding scope over time.
• Plan and execute team events, off‑sites, and internal sessions, handling venue, logistics, agenda, and communications.
• Structure and maintain Notion pages for clear information architecture.
• Oversee expenses, vendor relationships, and contracts with accuracy.
• Build trust across levels, handle confidential information with discretion, and navigate sensitive situations with emotional intelligence.

Required profile

• Minimum 3 years experience as an Executive Assistant supporting senior leadership.
• Strong organizational skills and ability to juggle multiple stakeholders simultaneously.
• Proactive mindset: constantly asks “why does this process exist?” and seeks automation.
• High emotional intelligence and situational awareness.
• Comfortable working autonomously and delivering results without micromanagement.
