Business Coordinator, Enterprise AI

About the role

The Business Coordinator, Enterprise AI supports senior leaders driving AI‑enabled transformation at AstraZeneca. Based in Barcelona, the role blends executive support, digital workflow automation, and event coordination in a fast‑moving, global environment.

Key responsibilities

• Provide high‑impact executive support, managing complex multi‑time‑zone calendars, travel logistics and expense approvals.
• Leverage AI tools such as Microsoft 365 Copilot, ChatGPT or Claude to draft communications, summarise email and Teams threads, and automate repetitive tasks with Power Automate and SharePoint.
• Maintain structured digital workspaces across SharePoint, OneNote and Teams for easy information access.
• Coordinate site logistics for AI showcases, internal hackathons, leadership off‑sites and external partnership meetings.
• Act as liaison between Enterprise AI leaders and internal/external stakeholders, ensuring smooth scheduling and information flow.
• Drive operational excellence by managing onboarding, transitions and off‑boarding for the leadership team and sharing AI productivity insights within the global PA/AC community.

Required profile

• 5+ years of administrative or executive support experience at VP level or above, preferably in technology, digital or data transformation within a global organisation.
• Advanced proficiency in Microsoft 365 suite with a proven record of accelerating executive productivity.
• Hands‑on experience with AI assistants such as Microsoft 365 Copilot, Claude or ChatGPT.
• Strong curiosity about AI, digital fluency and ability to thrive in a fast‑moving, international setting.
